M-PESA for rent collection and real estate in Kenya 2026

How Kenyan landlords, property managers, and estate agents collect rent on M-PESA in 2026. Paybill with unit-number references, month-to-month reconciliation, arrears handling, KRA rental-income tax (RIT), and worked example for a 24-unit block.

Property is a paybill-first sector. The rent-collection pattern is: a defined list of units, a stable monthly amount per unit, tenants who pay across the first week of the month, occasional partial or late payments, and hard month-end reconciliation. The paybill account reference is the mechanism that keeps a 24-unit block from becoming a spreadsheet nightmare.

What a landlord actually needs from M-PESA

  • Per-unit reference. The account field carries the unit ID. A single paybill serves any number of units.
  • Partial-payment handling. Tenant pays KES 15,000 then KES 10,000. Both stack against the same unit.
  • Arrears tracking. Running balance per unit rolls forward. Late tenants get automated reminders.
  • Deposits and refunds. Security deposit collected via same paybill (different reference suffix like B4-12-DEP), refunded at move-out.
  • Multiple properties. One agent might manage three or four properties. Either separate paybill per property, or a single paybill with property-prefix references (e.g. PLAZA-B4-12).
  • KRA MRI compliance. The paybill statement is the primary evidence.
  • Single landlord, one property. Register a dedicated paybill in the landlord's name (individual or company). See how to get a paybill (2026).
  • Landlord with 2-plus properties. Either one paybill with property-prefix accounts, or separate paybill per property. Separate paybills make bank sweeps to per-property accounts easier.
  • Property manager handling multiple owners. The manager operates a paybill in their own agency name, then does a monthly disbursement to each owner. Requires a signed management agreement and a clean trust-account setup.
  • Never a Buy Goods till. No account field = no way to know which unit paid.
  • Never a personal M-PESA line. Mixes personal and rental funds, breaks KRA reporting.

Charges you will actually pay

On paybill, both sides pay a fee. For typical rent tickets (KES 15,000 to KES 50,000): both the tenant and the landlord pay KES 108 per transaction (top merchant band + top customer band). Full schedule in M-PESA charges 2026.

For a 24-unit block, that is 24 x KES 108 = KES 2,592 per month in landlord-side merchant fees. Negligible against the collection value. Some larger portfolios negotiate a preferential merchant tariff with Safaricom above a certain monthly volume.

Setup steps

  1. Landlord KRA PIN, ID or certificate of incorporation, property title deed or sub-lease, business bank account.
  2. Apply for a paybill via m-pesaforbusiness.co.ke or a Safaricom Business Rep. State "Rent collection" as the use case.
  3. Sign the Lipa na M-PESA merchant agreement. Approval usually 5 to 10 working days.
  4. Set up the paybill account-reference validation rule to match your unit ID format (e.g. reject anything not matching [A-Z]\d-\d\d).
  5. Circulate the paybill number and each tenant's unit reference in the tenancy agreement, on a rent invoice, and via SMS at move-in.
  6. Test with a KES 100 dummy payment before circulating widely.

Reconciliation notes specific to property

  • Unit ID discipline. Fixed format. Print it on the tenancy agreement, on the door plate, and on every rent-reminder SMS.
  • Monthly close. Last day of the month, pull the paybill statement CSV. Group by unit reference. Match against the rent roll. Flag arrears and partial payments.
  • Arrears escalation. Any unit with an outstanding balance more than 5 days into the next month gets an SMS. More than 15 days: physical notice under the Distress for Rent Act.
  • Deposits. Held in a separate ledger, not co-mingled with rent. Refund via paybill B2C or bank transfer at move-out, log the refund transaction ID.
  • Owner disbursement (agency model). Monthly. After deducting agent commission (usually 8 to 12 percent) and pass-through costs (repairs, service charge), transfer the net to owner. Provide a monthly statement per unit.

Common problems and how to fix them

  • Tenant paid but used the wrong unit reference. Common on move-in. Search the paybill statement by phone number, credit the correct unit, log the correction.
  • Tenant paid to the previous landlord's paybill. Immediate re-education. If the previous landlord will not refund promptly, tenant may need to pay again and pursue the recovery separately.
  • Partial payment that overshoots into next month. Tenant paid KES 45,000 on a KES 22,000 rent. Credit one month rent, park the excess as pre-payment against next month, notify tenant via SMS.
  • Rent bounced back. Tenant claims paid, no record on paybill. Ask for the M-PESA transaction ID. If not on your paybill statement, they paid elsewhere.
  • Deposit refund at move-out. Do a joint inspection, agree deductions, refund the balance via B2C from your paybill. Get tenant signature on the settlement statement.

KRA rental-income tax (MRI) and eTIMS

  • Monthly Rental Income (MRI) tax. 7.5 percent of gross rent, applies to residential rent above KES 280,000 and up to KES 15 million per year (per landlord). File monthly on iTax by the 20th.
  • Above KES 15M annual rent. Landlord moves to regular income-tax at the individual or corporate rate, deducts allowable expenses.
  • Commercial rent. VAT-able at 16 percent above the KES 5M threshold. eTIMS invoices required.
  • Rental Rate Assessment (RRA). If KRA sends you an RRA letter, respond with actual unit-by-unit rent schedule.
  • Withholding tax. When a corporate tenant pays rent, they withhold 10 percent and remit to KRA on your behalf. You get a WHT certificate to offset.

Worked example: a 24-unit block, KES 612k gross monthly rent

A 24-unit block in Kileleshwa: 6 bedsitters, 10 one-bedroom, 6 two-bedroom, 2 three-bedroom. All rent through a single paybill, unit-code account references.

Unit typeMonthly gross rentRent tickets / monthMerchant fee / ticketLandlord monthly M-PESA cost
Bedsitter (6 units x KES 12,000)KES 72,0006KES 82KES 492
1-bed (10 units x KES 22,000)KES 220,00010KES 108KES 1,080
2-bed (6 units x KES 35,000)KES 210,0006KES 108KES 648
3-bed (2 units x KES 55,000)KES 110,0002KES 108KES 216
TotalKES 612,00024KES 2,436

M-PESA cost as a share of gross rent: 0.4 percent. Negligible. MRI at 7.5 percent of gross = KES 45,900/month. Net-net after Safaricom fees and MRI, the landlord keeps KES 563,664 before property costs.
