Full definition

Till reconciliation is the daily (or intra-day) accounting step of matching every M-PESA transaction into a business till, paybill or Pochi against the business's internal record of what should have been paid. On the M-PESA side the input is the C2B Confirmation callback (via Daraja) or the daily M-PESA merchant statement; on the internal side the input is the order, invoice, subscription plan or student fee account.

A good reconciliation flow catches four common failure modes: (1) a customer paid a valid amount with a wrong account number, so the money sits unallocated; (2) a customer paid the wrong amount (over or under); (3) a duplicate payment where the customer paid twice and needs a refund; (4) an alleged payment the customer swears they made but which does not appear in the M-PESA statement (usually a scam paybill or a delayed callback).

Most small businesses reconcile manually from the M-PESA daily statement. Every serious biller (utilities, schools, betting operators, subscription businesses) reconciles automatically by wiring the C2B Confirmation URL directly into their order database. paybillke's dedicated reconciliation guide walks through the manual and automated versions.

Worked example

At 6pm a shop pulls its daily M-PESA till statement. It has 47 lines totalling KES 152,300. The shop's till log has 46 orders totalling KES 149,800. The extra KES 2,500 line, at 3.14pm, was a customer who paid twice; the shop calls that customer to refund.
